Proper project hand-off protocol?

I currently work on projects on my C: drive and would like to transfer a project upon completion to our server.  This way our project managers can use the file.  I copied the VCE file and saved it on the server.  When the project manager opens this file they can not see the pdf's that I brought in.  Is there something I am doing wrong?  I am currently using version 5.20.

The pdfs are stored in the subfolder of the project name.

    So, my project location is

    C:\Trimble\Projects\ACTIVE\1000-CUNFS\10-19-18 SW TOWER STAKEOUT.vce

There should be a sub folder

    C:\Trimble\Projects\ACTIVE\1000-CUNFS\10-19-18 SW TOWER STAKEOUT\

If you were to look in there it should have all your imported files as well as the PDFs images

    C:\Trimble\Projects\ACTIVE\1000-CUNFS\2-21-18 NORTH FORK SIPHON\SURV CONTROL_Page001_Dpi300_Layer043.png_tiles

That needs to be transferred over to your server as well. Not just the VCE.

To further visualize what Erik is saying:

Both need to go to your server.

If you close the project and then go to file archive project it will package the file and all sub folders into a zip file that can be copied down anywhere and unpacked by any user. Then you cannot lose anything.

Thanks to you all for helping out here
